Job Title: Intake Coordinator
We are looking for a full-time or part-time Intake Coordinator to join our employment law practice in downtown Oakland, California. The ideal candidate is motivated, results-oriented, organized, an effective communicator, and able to build a strong rapport with potential clients.
This position can be in person, or hybrid. Our small office is very collegial and cooperative, so the ability to get along with co-workers is also critical.
Job Summary:
Intake Coordinators are involved in the intake process at Hunter Pyle Law, PC. Potential clients reach out to the firm via website submission forms, phone or email; it is the Intake Coordinator’s responsibility to monitor these communications, follow up with potential clients, and conduct an interview via phone. Intake interviews normally take between 15 and 30 minutes.
During intakes, Intake Coordinators utilize intake forms to guide them through the interview. After the interview, Intake Coordinators collect relevant documentation from the potential client (normally by email) and draft a memorandum summarizing the important facts and potential claims. The Intake Coordinator then circulates the memorandum to the attorneys to review.
In addition to the tasks listed above, Intake Coordinators track their intakes in anticipation of a weekly team intake review session. The Intake Coordinator participates in a weekly team meeting, where the attorneys review and discuss the intakes. Intake Coordinator also reaches out to potential clients with updates if an attorney is interested in their case.
Training will be provided.

Required Qualifications:
- Excellent written, verbal, communication, and interpersonal skills.
- Ability to use email, text messages, Microsoft Word, and Adobe.
- Ability to provide a positive experience for potential clients during the intake process to build trust in the firm’s services.
- Ability to prioritize tasks and manage time efficiently, especially when handling a high volume of potential clients.
- Ability to speak Spanish and/or other languages is preferred but not necessary
- While prior experience as a legal Intake Coordinator is beneficial, relevant experience in customer service, legal assistance, or a related field can also be valuable.
Compensation: $25-$30 per hour plus medical, dental, vision and 401K benefits.
